EVENT LOCATION: HOW TO PICK THE RIGHT VENUE FOR YOUR EVENT

The venue of your event is very important, it has to relate directly to the theme of the event and also the atmosphere you want for your event. I’m going to be sharing basic tips to look out for when choosing the venue for your even.

1. Purpose/Theme:

What is the purpose of your event? Is it family get together, wedding, birthday, conference or seminar? Your venue would have to serve to purpose of your event.    For instance you wouldn’t be looking for a conference center for a wedding. So as an event manager, you need to understand the purpose of your event.
The theme of your event is different the purpose. While the purpose of the event is the event is the reason for the event, the theme is the expected atmosphere the event is to have. For a Cinderella themed wedding, you would be looking for a large hall, while a beach theme wedding you would be looking for a venue near a large body of water.

2. Estimated number of guest:

It is important to know the estimated number of guest expected for your event, this would aid you in the search for a good venue. A 100 capacity hall would not be ideal for an event of 500 expected guest. It’s just simple logic application here.

3. Location:

It has to be central to all the other activities of the event. For a seminar with about 5 different hotels for delegates, the venue of the seminar has to be central to all the hotels so delegates are able to access the venue.

4. Budget:

Whatever venue you are using for your event, your budget needs to be able to accommodate it. An overly expensive hall wouldn’t do you much good if it is way above your budget and you cannot afford other expenses for your vent.

5. Resources:

It is equally important to determine the resources your event would need and if your preferred venue can accommodate those resources. You may need a venue that has a large space for exhibition if you are having a seminar with many exhibitions. You also need to find out what resources the venue will provide. Will they be providing sound systems or you will have to rent yours? Will the venue come with tables and chairs? Will it need decorations?

There are so many factors to consider when picking your event venue, but I hope these tips I have shared will help make it easier to choose your venue.
